Position | Executive Operations Manager

WHO YOU ARE | The Executive Operations Assistant? serves as the CEO’s direct aide and administrator. This role strikes the balance of partnering with the CEO on all creative projects, overseeing the day-to-day operations, as well as supporting the client experience. You are always punctual, have a love of fashion, have your own sense of style and recognize how to present yourself professionally. You love organization, are proactive to solve problems and bring solutions, an excellent communicator, and have a critical eye on all the details. You have a desire to control chaos and are resourceful to make it happen. You are flexible and adaptable to schedules driven by the client calendar. You have 5 years of experience working in a corporate office environment supporting executives by providing a high-level of excellence, building trust, and maintaining confidentiality in all relationships. 

WHAT YOU WILL DO | CEO Support

  • Manage professional and personal scheduling for CEO, including agendas, mail, email, video & voice calls, client management, and other logistics.

  • Coordinate complex scheduling and calendar management, as well as content and flow of information between CEO, client, and team.

  • Manage CEO’s travel logistics and activities, including accommodations, air and ground transportation, and meals.

  • Accompany CEO for client or event travel as needed.

  • Maintain professionalism and strict confidentiality of all information or materials relating to CEO, clients, and team in personal or professional capacity.

  • Project & event management as directed.

WHAT YOU WILL DO | Operations Support

  • Provide day-to-day administrative support including purchase tracking and expense reporting, invoicing clients, maintain document files and client/prospect information, and email data.

  • Manage and support a luxury white-glove client experience.

  • Handle smooth operations to prepare/shop for client sessions.

  • Manage operational flow during client Edit and Pull Sessions.

  • Manage 1-2 interns in preparation and during client sessions.

WHAT YOU WILL DO | Brand Support

  • Content capture management and creation preparing for and during client sessions.

  • Assist with social media management.

  • Manage regular email marketing campaigns.

QUALIFICATIONS

  • Bachelor’s degree preferred.

  • 5 years supporting executives in a corporate background showing a progression of growth in experiences and responsibilities.

  • Strong written and verbal communication skills

  • Proficient working in G-Suite applications

  • Must reside in Los Angeles
